Pre-move-out inspection no surprises at handover

During a pre-move-out inspection — in Dutch a "voorinspectie" — you walk through the property with the tenant well before the tenancy ends. You record what still needs to be repaired, cleaned or removed, so the tenant knows exactly what to expect.

What is a pre-move-out inspection?

The pre-move-out inspection usually takes place two to four weeks before the final handover. Landlord and tenant look at the property together and compare it with its condition at the start. Everything the tenant still needs to do is written down: filling holes in walls, removing their own installations, cleaning.

The advantage: the tenant still has time to sort things out themselves, and there is no discussion at handover. In Kamerinspectie you record the pre-move-out inspection as an interim inspection, compare it with the condition report and note agreements with photos.

  • Compare each room with the condition report from the start
  • Record repair points as damage or agreement, with a photo
  • Note who takes action and who bears the costs
  • Have the tenant sign the agreements digitally

One walkthrough, a smooth handover

With a good pre-move-out inspection the final handover takes minutes.

Compare with the start

Link the condition report and see how each room was at the start. That way you objectively establish what changed.

Clear repair points

Record for each point what needs to happen, who does it and roughly what it costs.

Photos as reference

Take a photo of every point. At handover you immediately see whether it was resolved.

Agreements signed

The tenant signs for the agreements. That prevents "we never agreed on that".

Note meter readings early

Record interim readings, so you quickly spot anomalies at handover.

Ready for handover

At the final inspection you create the move-out report and compare again. Everything is in one archive.

What to look for in a pre-move-out inspection

These points come up in almost every pre-move-out inspection.

  • Holes in walls and ceilings from plugs or hooks
  • Installations added by the tenant that need removing
  • Carpets, laminate flooring and tiles
  • Damage to doors, window frames and kitchen worktop
  • Limescale and mould in bathroom and toilet
  • Garden, balcony and storage room empty and tidy
  • Heating, extractor fans and smoke detectors working
  • Agreement on the date and time of the final handover

Frequently asked questions about pre-move-out inspections

No. Many housing associations and professional landlords do it as standard because it prevents disputes at handover. For private landlords it is also an easy way to settle the deposit smoothly.
Usually two to four weeks before the tenancy ends. That gives the tenant enough time to fix things before handing in the keys.
The pre-move-out inspection is an advance check with repair points for the tenant. The final inspection is the actual handover when the keys are returned; for that you create the move-out report.
Choose "Interim inspection" when creating the report and link the condition report of the same property. You then see the starting condition per room and record repair points as damage or agreements.
